A plain-language guide for owners and people who track time.
Hourivo is a work timer for teams. You start it when you work. It records time. If your company allows it, it also takes random screenshots as proof of work. Owners use it to see progress and bill clients. Team members use it to log honest hours. The timer off means tracking is off.
Two apps, one job. This website is the dashboard (hours, screenshots, invoices). The desktop tracker is the actual timer (Mac, Windows, Linux). There is no iPhone or Android tracker. You cannot start tracking from the website or from a phone. Download the desktop app from the product site after you sign in, or ask your owner.
If you run the company (owner / admin)
Create a project. A project is a client or job. Add a budget if you have one. Choose how often screenshots should be taken while someone is tracking.
Invite your team. They get an email, set a password, and accept the Terms and Privacy Policy. Enter what you pay them (cost rate) and what you charge the client (billable rate).
Everyone installs the desktop app on the computer they work on (Mac, Windows, or Linux). There is no phone app. Sign in there, pick a project, press Start.
Approve timesheets when people log hours. If you reject time, add a short reason — they see it in the app and get an email. Then create an invoice from approved billable time.
Use Margins to see if a project is profitable. Use Org settings for Blur All or Trust Mode (timer only, no pictures). On the Team plan, AI can summarize work from time, apps, and screenshots — always check it before payroll.
If you track time (team member)
Accept the invite, set your password, and accept Terms and Privacy.
Install the desktop tracker on Mac, Windows, or Linux. Sign in. A phone can only view hours, not start the timer.
Select the project (and task if listed). Press Start. Work as usual.
Press Stop for lunch, meetings off the clock, or end of day. Tracking stops.
If a screenshot shows something private, blur it. Pictures are deleted after about 15 days.
Forgot the timer? Add a manual time request on Timesheets. Your manager must approve it. If they send it back, you will see why and can edit to resubmit.
What the menu names mean
Live / My Workspace — who is working now.
Timesheets — hours. Owners approve. Anyone can export CSV. Every Friday we email your hours (every plan). Team-plan Gemini write-ups are a separate AI email.
Activity / Captures — screenshots and app names from when the timer was on.
Projects — jobs you can track against.
Team (owners) — people, roles, rates.
Margins (owners) — cost vs client revenue.
Invoices (owners) — bill the client from approved hours.
AI (Team plan, owners) — Gemini summaries. Can be wrong.
How to use — this guide, also inside the signed-in app.
Privacy in one minute
No tracking while the timer is off.
No keylogging, clipboard, webcam, or microphone.
Screenshots purge after 15 days by default.
Your organization is usually the controller of workplace data. Hourivo is the processor. Read Privacy and Terms.
Common problems
I pressed Start on the website
The website does not run the timer. Use the desktop app on Mac, Windows, or Linux.
I cannot find the iPhone or Android app
There is no phone tracker. Open the website on a phone only to view hours. Track time from the desktop app.
I did not get a weekly report email
Hours emails go out every Friday to everyone. You can also open Timesheets and use Email my week, or export CSV. The Gemini AI write-up is Team plan only, for owners and admins.
Hours say pending
Manual time waits for approval. Ask your owner.
Can my boss see my screen all day?
Only while the timer is running, and only if the company is not in Trust Mode. You can blur captures.
Signed in already? Open How to use in the left menu of the dashboard — same guide, with buttons that jump to each screen.
